Every pre-owned vehicle on a franchise dealer’s lot has a thick file behind it: the original factory build sheet, the certified pre-owned inspection with every checkbox, the reconditioning work and what it cost, the service history, the warranty terms, and the CARFAX. Almost none of that reaches the buyer. They get a listing with twelve photos, a price, and a “CPO” badge, and they are asked to trust the badge.

LotFile is the tool Eagle Eye built for VIP Automotive Group to fix that. It takes a VIN and produces one shareable page that surfaces every record: factory equipment, the full inspection checklist item by item, service and reconditioning records, warranty information, the CARFAX report, and a walkaround video recorded by the store’s team. One link. No app. Every record.

What a LotFile page shows

LotFile organizes a vehicle’s records into panels, eleven of them on a fully populated unit. The buyer scrolls through the same file a used-car manager would have on their desk.

Vehicle information and factory equipment

Year, make, model, trim, engine, transmission, drivetrain, exterior color, mileage, and the original MSRP alongside current pricing. Specs are VIN-verified from manufacturer data, not typed in by a salesperson, so the trim and packages are what the factory built, not what the listing guessed. The original window sticker, with every package and option, is available through the CARFAX report.

The CPO inspection, every checkbox

This is the panel that changed how VIP Automotive Group sells certified vehicles. Instead of a “125-Point Inspection Verified” badge, the buyer sees the entire certified pre-owned checklist (qualification standards, ownership materials, pre-road-test mechanical items, the road test itself, post-road-test checks, maintenance standards, appearance, and detail), each with its pass or fail status. On a Mopar CPO vehicle that is 125 items; other programs run longer. The reasoning is profiled in publishing the CPO inspection checklist.

Reconditioning and service records

What was done to the car before it went on the lot, and what it cost. The store’s pre-delivery inspection summary (history check, interior, road test, suspension, under hood, appearance, wheels and brakes, reconditioning, body, safety) appears with pass or fail status. Buyers see that the brakes were replaced, not just that “brakes: pass.”

New York State safety and emissions inspection

Every pre-owned vehicle VIP Automotive Group sells goes through a full NYS safety and emissions inspection by licensed, factory-trained technicians before delivery. LotFile shows it as passed and certified, with the categories covered: brakes, tires and wheels, emissions and OBD-II, lighting and electrical, steering and suspension, and safety equipment.

CARFAX, warranty, and the benefits that come with the car

The full CARFAX vehicle history report is one tap away. Warranty terms are surfaced. For VIP Automotive Group’s stores, the page also carries the VIP+ program card (complimentary oil changes, loaner cars, 24/7 towing, NYS inspections, and the rest) and the 30-day exchange policy, because those are part of what the buyer is getting.

Acquisition source

When it applies, LotFile explains where the car came from. The group’s low-mileage courtesy loaners, for example, are labeled as such: dealership-operated, never privately owned, every factory maintenance interval performed by the store’s technicians, depreciation already absorbed. That is a selling point a standard listing has no place to put.

Walkaround video and a direct line

A video tour recorded by the store’s team, and buttons to call, schedule a test drive, schedule service, or value a trade.

How it works in the sales process

LotFile is built around a single VIN link, which makes it fit anywhere a salesperson or BDC rep is already communicating.

  1. Share the link. The rep sends the LotFile URL for the vehicle by text, by email, or from the listing. It pairs naturally with a Pronto video: here is the rep walking the car, and here is every record on it.
  2. Records are fetched live. LotFile pulls the inspection, service, factory, and warranty data when the page loads, so the buyer sees current information, not a PDF someone exported last month.
  3. The buyer sees everything. One organized page on any device. No app, no PDF attachments, no phone tag to get “the inspection report.”

Why transparency closes more than it costs

The instinct in used cars is that showing the reconditioning cost or the one item that needed work invites negotiation. VIP Automotive Group’s experience has been the opposite. A buyer who can see that the front brakes were replaced at the store’s expense, that 125 of 125 items passed, and that the NYS inspection is done stops asking “what’s wrong with it” and starts asking “when can I pick it up.” The group’s own summary on LotFile’s site: it gives buyers everything they need to feel confident before they step into the showroom, and that is the kind of transparency that actually closes deals.

It also removes the phone tag. The three most common pre-visit questions on a used car (is it really certified, what has been done to it, and can I see the history) are answered by the link before the rep picks up the phone.

Built inside a dealer group

LotFile was built for VIP Automotive Group’s used-car and CPO operations before being offered to other dealers, alongside Pronto, ClaimsPointe, and ARGO. It assumes the constraints a real used-car department has: inventory turns fast, the records live in several systems, salespeople will not assemble a packet by hand, and buyers will not install anything to read one.

Frequently Asked Questions

What is LotFile?

LotFile is a vehicle records tool built by Eagle Eye for dealerships. It turns a VIN into one shareable web page that shows factory equipment and specs, the full certified pre-owned inspection checklist with pass or fail status, reconditioning and service records, warranty information, the CARFAX report, the state inspection, and a walkaround video.

How does a dealer share vehicle records with a buyer?

With LotFile, the dealer sends a single URL tied to the vehicle’s VIN by text, email, or from the listing. The buyer opens it on any device with no app or PDF. Records are fetched live when the page loads.

Does showing reconditioning records hurt used-car margins?

In VIP Automotive Group’s experience it does the opposite. Buyers who can see the inspection results, the work performed, and the vehicle history stop probing for hidden problems and move faster to a decision, and pre-visit phone tag about “the inspection report” largely disappears.

What is the difference between a CPO badge and a CPO inspection report?

A badge says the vehicle passed. The report shows the checklist (on a Mopar certified vehicle, 125 items across qualification, mechanical, road test, maintenance, appearance, and detail standards) with the status of each. LotFile shows the full report rather than the badge alone.

Does LotFile include the CARFAX report?

Yes. The full CARFAX vehicle history report (accidents, ownership, and service records) is linked from the LotFile page, and the original factory window sticker with packages, options, and original MSRP is available through it.
